Google API Limited Use Disclosure: ProjectCare Insight’s use and transfer to any other app of information received from Google APIs will adhere to the
Google API Services User Data Policy, including the Limited Use requirements. ProjectCare Insight requests only the minimum OAuth scopes necessary: Sheets access to read task data, script.container.ui to render the add-on sidebar, and script.external_request solely to support the optional Ask AI feature described below.

This privacy policy (“Policy”) describes how iCareNow.io (“ProjectCare Insight”, “we”, “us” or “our”) collects, protects and uses the personally identifiable information (“Personal Information”) you (“User”, “you” or “your”) may provide through the ProjectCare Insight website (iCareNow.io) and Google Sheets add-on. This Policy does not apply to the practices of companies that we do not own or control, or to individuals that we do not employ or manage.

Your privacy is important to us. It is ProjectCare Insight’s policy to respect your privacy regarding any information we may collect from you across our website, https://icarenow.io, and other sites we own and operate.

ProjectCare Insight Add-on — Core Data Handling

ProjectCare Insight is a Google Sheets add-on. When users interact with it, task estimates entered by users are used solely to perform probability calculations. All calculations are performed within Google Apps Script, which runs entirely on Google’s own infrastructure — no task data is sent to any external server as part of the core add-on. These estimates are processed temporarily and are not stored beyond the time required to generate results.

iCareNow does not sell, rent, or share user data with third parties, except as described in the Optional AI Chat section below, where the user has explicitly opted in to send derived project context to OpenAI.

Consent

We only ask for personal information when we truly need it to provide a service to you. We collect it by fair and lawful means, with your knowledge and consent. We also let you know why we’re collecting it and how it will be used. We only retain collected information for as long as necessary to provide you with your requested service.

Information We Collect

The ProjectCare Insight extension requires access to your Google Sheets to function. We do not store any data from your Google Sheets or Google Drive on our servers. The extension saves Sheet metadata (Spreadsheet ID, Sheet Name/ID, and Column ID) to your browser’s storage to function. The minimum data required for the extension to function is stored in your browser’s storage.

We don’t share any personally identifying information or Google user data publicly or with third parties, except when required to by law or when the user has explicitly opted in to the Ask AI feature (see below).

Google OAuth Scopes — Purpose and Minimum Use

ProjectCare Insight requests only the scopes strictly necessary for its features. The following table describes each scope and why it is needed:

  • auth/spreadsheets — reads task names, O/M/P estimates, and schedule structure from the user’s Google Sheet. No data is written back to the sheet by the core add-on without explicit user action.
  • auth/script.container.ui — renders the add-on sidebar and panels within Google Sheets. Required for any Google Workspace add-on to display a user interface.
  • auth/userinfo.email and auth/userinfo.profile — used to identify the user’s Google account for authentication and to scope per-user settings stored in PropertiesService.
  • auth/script.external_request — used exclusively to support the optional Ask AI feature. When a user activates Ask AI and clicks Send, this scope allows Google Apps Script to call https://api.openai.com/v1/chat/completions using the user’s own API key. This scope is not used by any other part of the add-on. The external endpoint is declared in the add-on manifest’s urlFetchWhitelist as https://api.openai.com/. If the user does not enable Ask AI, this scope makes no outbound calls.

Use of Data

ProjectCare Insight uses the collected data for the following purposes: (a) to provide and maintain our Service; (b) to allow you to use the interactive features of our Service; (c) to provide customer support; (d) to detect, prevent and address technical issues; (e) to improve our Service; (f) for any other purpose with your consent.

Data Retention and Deletion

ProjectCare Insight accesses Google user data only when a user explicitly authorizes it as part of the functionality of our extension. Our application uses this data to identify the correct Google Sheets documents to operate upon, and to enhance user experience by remembering user settings and preferences related to Google Sheets documents.

The specific types of data accessed include Spreadsheet IDs, Sheet names/IDs, and Column IDs, which are necessary to perform the operations that ProjectCare Insight is designed to carry out.

Data Storage

ProjectCare Insight retains Google user data only for the duration necessary to fulfill the services provided. Accessed data is stored locally within the user’s browser. Task estimates are used to generate results and are not retained afterward. Upon removal of our extension, all locally stored data is automatically deleted from the user’s device.

  • User-Requested Deletion: Users can request deletion of any associated data at any time by contacting support@icarenow.io.
  • Revoking Permissions: Users can revoke ProjectCare Insight’s access to their Google data at any time through their Google Account Connections.

Optional AI Chat Feature (“Ask AI”) Added Sep 2026

ProjectCare Insight includes an optional AI-powered chat panel (“Ask AI”). Using the core add-on — running probability calculations, viewing Lab results, and reading Recommendations — does not use this feature and is unaffected by it. Your project data remains entirely within Google’s infrastructure when you use the add-on without Ask AI.

What the feature does

Ask AI lets you type questions about your project results and receive plain-language answers powered by OpenAI’s GPT models. To use it, you supply your own OpenAI API key (BYOK — “Bring Your Own Key”). The key is stored exclusively in Google’s PropertiesService on the GAS server — it is never transmitted to iCareNow, never returned to the browser, and never logged.

What data is sent to OpenAI when you use Ask AI

Each time you press Send in the Ask AI panel, the following are transmitted to OpenAI’s API (api.openai.com) over HTTPS:

  • Your typed message and the conversation history for that session
  • Derived project context extracted from your last run: probability of finishing on time, P50 / P80 forecast days, target deadline, critical path task names, schedule health score, and number of tasks in the network

Raw spreadsheet content, cell values, formulas, and personally identifying information are not sent. Only the numerical outputs your run has already computed are included.

iCareNow’s role

iCareNow acts as a pass-through only. We do not receive, store, inspect, or retain any of the data sent to OpenAI. The request travels from Google’s Apps Script servers directly to OpenAI using your own API key. iCareNow has no visibility into the content of your conversations.

OpenAI’s role and governing policy

When you use Ask AI, OpenAI acts as an independent data processor for that request. The data you send is governed by OpenAI’s Privacy Policy and API Data Usage Policy. As of this writing, OpenAI does not use API call data to train its models by default, but you should review OpenAI’s current policies for the authoritative statement.

Your control

  • Opt-in only: The feature is inactive until you deliberately open the Ask AI panel and save a key.
  • No data leaves the add-on without a Send action: opening the panel, viewing recommendations, or running calculations does not trigger any OpenAI call.
  • Remove at any time: Click “Remove API key” inside the Ask AI panel to delete your key from Google’s PropertiesService. No further data will be sent to OpenAI after removal.
By entering an API key and using the Ask AI feature, you acknowledge that derived project context will be transmitted to OpenAI and processed under OpenAI’s Privacy Policy. If you do not agree, simply do not enable the feature — the core add-on works fully without it.

Privacy of Children

We do not knowingly collect any Personal Information from children under the age of 13. If you are under the age of 13, please do not submit any Personal Information through our website. If you have reason to believe that a child under the age of 13 has provided Personal Information to us, please contact us.

The website uses “cookies” to help personalize your online experience. You have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. Examples of cookies we use: (a) Session Cookies; (b) Preference Cookies; (c) Security Cookies.

Information Security

We secure information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use, or disclosure. However, no data transmission over the Internet or wireless network can be guaranteed. Therefore, while we strive to protect your Personal Information, you acknowledge that security and privacy limitations of the Internet are beyond our control.

Changes and Amendments

We reserve the right to modify this privacy policy at any time, effective upon posting of an updated version on the website. Continued use of the website or add-on after any such changes shall constitute your consent to such changes.
